User roles
heatfolio allows you to assign different roles to the users in your workspace, all of them owning then different permissions into accessing the projects or reports data and functionalities.
If you own the Administrator role, you can assign different roles to new users when inviting them into the workspace or to current users from “Settings” option (last item in the menu), by clicking on the “Users” link.
The technical roles available in heatfolio are:
- Delegate (fit for a temporary selected project manager);
- Reporter (fit for a project manager);
- Proponent (fit for a project proponent);
- Manager (fit for a department director);
- Supervisor (fit for the top management);
- Administrator (fit for a portfolio reporting representative);
Delegate: a standard user that can be empowered to submit status reports on behalf of a project manager on a project level; it can view both the list of projects assigned to himself as a project manager or their individual details and the list of status reports for assigned projects, create new status reports and edit or delete them during the reporting timeframe.
Reporter: equivalent to the function of a project manager, a user that can create projects and submit status reports on the active ones assigned to himself. Extending the permissions a “Delegate” has, the “Reporter” can also add new or edit current projects inside the workspace that are assigned to himself as a project manager.
Proponent: similar to a project proponent function, a user allowed to review and approve projects assigned to himself as a proponent or browse the entire list of status reports for the projects he proposed. If required, it can also act as a “Reporter”, inheriting all of its permissions.
Manager: equivalent to a head of department function, the role can view all the projects assigned to the department it belongs to and the entire list of associated status reports, together with the list of users inside his department. If required, it can also act as a “Proponent” or a “Reporter”, inheriting all of their permissions.
Supervisor: similar to a top management function (e.g. board member), the role can browse and view all the projects and status reports inside a workspace, together with workspace details and related data in the dashboard. If required, it can also act as a “Proponent” or a “Reporter”, inheriting all of their permissions.
Administrator: equivalent to a portfolio reporting representative, the role offers complete control over the workspace settings, users, departments, projects and status reports. If required, it can also act as a “Proponent” or a “Reporter”, inheriting all of their permissions.
